Privacy Policy

1. Who we are
Scanavigator (“Scanavigator”, “we”, “us”, or “our”) is an early-stage aviation software project operated as a sole proprietorship in Cape Town, South Africa. This policy explains what personal information we collect through app.scanavigator.com (the “Service”) and how we use it.
2. What we collect
The information we collect depends on how you interact with the Service:
- Waitlist signups. When you submit the waitlist form, we collect your email address, plus any optional aircraft type and country you provide. We also record which form you used, your browser's user-agent string, and the IP address of your request.
- Demo briefings. When you use the pre-flight briefing demo, we record your IP address and a daily counter to enforce a rate limit on the free demo. We temporarily send the ICAO code and aircraft you enter to third-party services (aviationweather.gov, and if configured, Anthropic or OpenAI) so we can generate your briefing. We do not persist those requests beyond the current session.
- Analytics. If we have anonymous product analytics enabled (PostHog), we may record page views, form interactions, and general session metadata (device type, coarse country from IP) to understand how the Service is used. We do not sell or share individual analytics data.
3. Why we collect it
- To operate the waitlist and let you know when the product launches.
- To send you occasional product updates (opt-out any time via the unsubscribe link in any email).
- To prevent abuse of the free demo (rate limits based on IP).
- To improve the Service based on aggregated usage patterns.
4. Service providers we use
To operate the Service we work with a small number of vetted third-party processors. Each has its own privacy practices which you can review, and we'll happily disclose the specific providers on request via info@scanavigator.com. The categories of processing are:
- Cloud hosting and serverless compute — our website, application, and server-side functions run on a managed cloud platform.
- Managed database — waitlist records and rate-limit counters are stored in a managed Postgres database with encryption at rest and in transit.
- Transactional email delivery — waitlist confirmations and internal signup notifications are dispatched through a specialised transactional email provider.
- Public aviation weather API — the briefing demo fetches METAR, TAF, and airport information from
aviationweather.gov, a free public service operated by NOAA (US National Oceanic and Atmospheric Administration). We share only the ICAO code you enter. - Large language model provider — if a conversational AI is configured, we send the fetched weather data and the aircraft type you provide (if any) to a third-party language model to generate your briefing. Your email address and IP are never shared with this provider.
- Anonymous product analytics — when enabled, an analytics service collects aggregated usage information (page views, form interactions, coarse geography from IP). We do not sell or share individual analytics data.
5. How long we keep your data
- Waitlist records are kept for as long as you remain on the waitlist. If you request removal, we delete your row within 30 days.
- Rate-limit counters are automatically pruned after 30 days.
- Analytics data, if collected, is retained according to PostHog's standard retention policy.
6. Your rights
You can, at any time:
- Ask us what information we hold about you.
- Ask us to correct or delete your information.
- Unsubscribe from our emails (each email includes a link).
- Object to your data being used for a specific purpose.
To exercise any of these rights, email us at info@scanavigator.com. We'll respond within a reasonable time (usually within 7 days).
7. Cookies
Scanavigator does not use tracking cookies for advertising. We may use functional cookies for basic session management. If analytics are enabled, PostHog may set a first-party cookie to distinguish repeat visitors — this can be disabled in your browser settings.
8. Children
The Service is not directed at children under 16. We do not knowingly collect information from anyone under 16. If you believe a minor has provided us information, please contact us and we will remove it.
9. Changes to this policy
We may update this policy from time to time. The “Effective date” at the top will change when we do, and material changes will be announced via email to waitlist subscribers.
